Applebee's Pancake Breakfast

The annual pancake breakfast at Applebee’s occurs in August before school starts. Families have a chance to come have breakfast and get to know the teachers while raising money for the school.

Pancake Breakfast Coordinator

Works with Applebee's to secure a date, complete necessary paperwork, communicate to parents, coordinate ticket sales and recruit teachers and administrators for the event.

Baldwin Bash

The Baldwin Bash party is the last major fundraiser for the year. In March, Baldwin parents will gather one for a night of food and fun. Tickets will be sold and a silent auction will be conducted during the event to raise money for the school.

Chairperson

Lead the three event committees and oversee the committee meetings, planning, and execution of the event.

Gifts Of Time Coordinator

Work with teachers and school administration to secure donations of time and experiences to be auctioned at the bash.

Party Coordinator

Secure a location for the event, negotiate fee, coordinate the food/drink menu, book entertainment, develop and sell tickets, and communicate event to parents.

Silent Auction Coordinator

Secure donation items from local businesses (working with our Partners in Education lead), set-up auction area, create bid sheets, determine winners, collect payment, and distribute prizes.

Bobcat Spirit Shop Merchandise

In order to foster Baldwin school spirit, bobcat themed merchandise is purchased and sold to our school community.

Spirit Merchandise Coordinator

Responsible for ordering and selling spirit merchandise (t-shirts, caps, umbrellas, etc.). Work with a committee of people to set up a bi-monthly day either before or after school to set up "shop" and sell spirit wear. Process all order forms, deposits and distribution of ordered merchandise. Ensure all merchandise is featured on the website's online "Store," and that Pay Pal orders are processed timely.

Directory - Student & Staff

Each year, a student and staff directory is compiled and sold for $5. Each directory includes important dates, a map of the school, and student/family contact information organized by teacher and grade.

Directory Coordinator

Work with a committee to gather current contact information of students, staff, teachers, administration, and PTA officers. Ensure accurate data-entry, proof read and edit, and produce a “print-ready” copy for the print shop. Oversee pre-orders, process deposits, and distribute Directories after publication.

Fall Carnival

The annual fall carnival is our biggest PTA fundraiser of the year. Numerous activities and games are offered for children and families with purchase of individual tickets or all-inclusive wristbands. Many good options are also available in the cafeteria. Several coordinators and committees are needed to execute this event as described below.

Chairperson

Organize and coordinate the entire event.

Activities

Identify various activities, secure bids, and contract with the chosen vendors for the Carnival. Also responsible for obtaining all needed supplies for the activity booths and working with the prize committee and volunteer committee to make sure these items are covered. Lastly, make sure that all volunteers have written directions for the activities.

Booth Rental

Responsible for contacting potential booth renters at the Carnival and developing a contract between the Baldwin PTA and the vendors. Also, responsible for set-up and tear down of table/booth space the night of the carnival.

Concessions

Secure bids and contract with the chosen vendors as well as decide on quantities to purchase. Other responsibilities include attending AISD's safe food handling presentation, securing signage, setup and volunteer training.

Entertainment

Responsible for entertainment at the Carnival and securing generators if needed or contacting groups if live entertainment is preferred. Other responsibilities include working with the program/map committee if needed.

Financial Secretary

Responsible for collecting ticket and wristband proceeds prior to the Carnival, preparing a deposit and getting the deposit to the PTA treasurer. Also running and maintaining a cash room, coordinating cash room volunteers, and preparing deposits on the night of the Carnival.

Prizes

Responsible for determining number of prizes needed, soliciting donations and ordering of prizes. Other responsibilities include separating prizes by activity, delivering and monitoring prizes during the Carnival, and managing inventory following the Carnival.

Program/Map

Responsible for creating a map and program for the night of the event and distributing these materials on the day of the event.

Publicity

Responsible for publicizing our Carnival to surrounding neighborhoods and schools throughout our community. Write a press release that can be sent to neighborhood and school newsletter contacts.

Signage

Responsible for ordering, picking up and displaying signs needed to satisfy our sponsorship obligations as well as signs to publicize this event to our community.

Sponsorship

Utilize the sponsorship materials from last year to contact past sponsors and expand sponsorship opportunities to new supporters. Other responsibilities include creating and managing signage, website recognition and any other marketing obligations for the sponsors during and after the carnival.

Thank You

Responsible for maintaining a list of thank you's that need to be written and then organizing thank you writing parties where all committee members will write a few notes.

Tickets/Wristbands

Responsible for ordering tickets and wristbands, selling and distributing tickets and wristbands, and organizing ticket booths for the event. Other responsibilities include creating ticket price posters and ticket booth set up and monitoring on the day of the event.

Volunteer Coordinator

Responsible for soliciting volunteers, maintaining a volunteer database, and communicating to volunteers. Members will also be responsible for maintaining a volunteer booth at the Carnival and monitoring the volunteers the night of the Carnival.

HEB Gift Card Drive

Baldwin Elementary participates in a grocery card 5% cash back program with HEB. The school can make up to 5% on all gift cards sold throughout the year. Families sign up to purchase and receive gift cards on a monthly basis.

HEB Gift Card Coordinator

Coordinate with our partner school, Highland Park Elementary, to collect and fulfill orders on a monthly basis throughout the school year.

Love Your School No-Hassle Fundraiser

To raise money for the school, the PTA holds an annual “no-hassle” donation drive in February. This donation drive is in lieu of other fundraising efforts such as gift wrap, cookie dough, candle sales, etc.

Love Your School Coordinator

Manage and coordinate efforts for giving campaign for 2 weeks before and after Valentine’s Day. Duties include advertising with pre-made yard signs and banners, accept and process donations, make deposits to Treasurer, and distribute tax-deductible donation letters/receipts.

Partners In Education

The Partners in Education (PIE) program fosters partnerships between local businesses and the school which generate monetary donations in support of the school.

Partners In Education Chairperson

Ensure all cash or in-kind donations to the school and/or PTA are recognized on the website, the Weekly Roar, and/or Partners in Education Bulletin Boards. Work with Carnival Sponsorship sub-committee and Baldwin Bash committee to identify, recruit and thank potential business partners.

Restaurant Nights

Several local restaurants will donate a percentage of sales from Baldwin customers back to the school.

Restaurant Night Coordinator

Approach local restaurants (4-5) to set up a monthly day/time where families are invited to dine at the restaurant where the school receives a certain percentage of any tab. Communicate to the Baldwin community where and when the next restaurant night is and place yard signs in the schoolyard as reminders.

School Supplies Coordinator

Work with administration and teachers to gather lists of anticipated back-to-school supplies for the following year and process order forms and distribution of pre-ordered supplies to the teachers at Meet The Teacher night. Also includes tracking and fulfilling online orders.
